Privacy Policy

Effective date: March 1, 2025

1. What We Collect

When you use AI Mold Inspector, we collect the following information:

  • Account information: Your name, email address, company name, phone number, license number, and certifications that you provide when setting up your profile.
  • Inspection data: Property addresses, client names, moisture readings, lab sample results, observations, and report content you create or generate through the Service.
  • Photos: Images you upload as part of inspection documentation.
  • Usage data: Log data including your IP address, browser type, pages visited, and actions taken within the dashboard. This helps us improve the Service and diagnose issues.
  • Payment information: Billing is handled by Stripe. We do not store your credit card number — only a Stripe customer ID.

2. How We Use It

We use the information we collect to:

  • Provide and operate the Service, including generating AI-assisted reports
  • Process payments and manage your subscription
  • Send transactional emails (inspection confirmations, report delivery, billing receipts)
  • Improve the Service by understanding how features are used
  • Respond to support requests
  • Comply with legal obligations

We do not use your inspection data to train AI models without your explicit consent.

3. Data Storage

Your account and inspection data is stored in a PostgreSQL database on a secure server. Photos and other file uploads are stored in MinIO object storage. Both are hosted on infrastructure with encryption at rest and in transit (TLS).

We use reasonable technical and organizational measures to protect your data. No method of internet transmission is 100% secure, and we cannot guarantee absolute security.

4. Data Retention

We keep your account data and inspection records for as long as your account is active. If you cancel your subscription, your data is retained for 30 days in case you wish to reactivate. After 30 days, inactive account data is scheduled for deletion.

You can request deletion of your data at any time — see Section 5 below.

5. Data Deletion (CCPA)

California residents have the right to request deletion of their personal information under the California Consumer Privacy Act (CCPA). All users — regardless of location — have the right to delete their account and data.

You can delete your account and all associated data in two ways:

  • Use the "Delete Account" button in your Settings page (immediate, irreversible).
  • Email [email protected] with your account email. We will process deletion requests within 30 days.

Note: Uploaded photos stored in object storage may take additional time to be purged from backup systems.

6. Third Parties

We share data with the following third-party services solely to operate AI Mold Inspector:

  • Stripe — Payment processing. Your billing information is governed by Stripe's privacy policy.
  • Amazon SES — Transactional email delivery (receipts, report emails).
  • Anthropic — AI report generation. Inspection data is sent to Anthropic's API to generate report content. Anthropic's API usage policies apply.

We do not sell your personal data to any third party.

7. Cookies

AI Mold Inspector uses session cookies only for authentication. These cookies are strictly necessary to keep you logged in and are not used for advertising or tracking. We do not use third-party analytics cookies.

8. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top of this page and, for material changes, notify you by email. Continued use of the Service after changes constitutes acceptance of the updated policy.
